Pricing & Billing

How do worker caps and contractor caps work on GC plans?

General Contractor worker caps are based on peak simultaneous on-site headcount. If a jobsite exceeds its cap for two consecutive weeks, an upgrade is required.Contractor caps refer to distinct contracting companies invited to the project.

How is OCR overage billed?

OCR page counts reset monthly. When you exceed the included pages on your plan, overage is billed at the posted per-page rate for that tier. Rates vary by plan:

  • Professional: $0.05 per additional page
  • Enterprise: $0.03 per additional page
  • GC Professional: $0.05 per additional page

Why do you say "prices may vary at checkout"?

Taxes, regional fees, add-ons, or negotiated enterprise terms can affect your final price. The pricing page shows standard rates; your checkout reflects your exact configuration.

Can I change plans at any time?

Yes, you can upgrade or downgrade your plan at any time. Changes take effect immediately, and you'll be prorated for any differences.

Getting Started

How do I get started with CertiScan.IS?

Simply sign up for a free 30-day trial, upload your first certificate or document, and our OCR technology will automatically extract the certification data. You can invite team members and start tracking expiration dates immediately.

What file formats do you support?

We support PDF, JPG, PNG, TIFF, and most common image formats. Our OCR technology works best with clear, high-resolution documents. You can also upload Excel files for bulk certificate imports.

How accurate is the OCR technology?

Our OCR technology achieves 95%+ accuracy on standard certification documents. You can review and edit any extracted data before saving. The system learns from corrections to improve accuracy over time.

What happens after my free trial ends?

After your 30-day free trial, you'll be charged for the plan you selected. You can cancel anytime before the trial ends with no charges. All your data remains accessible during and after the trial.

Certificate Management

How do expiration alerts work?

CertiScan.IS automatically sends alerts 30, 14, 7, and 1 day before certificates expire. You can customize alert timing and choose between email, SMS, or both. Alerts are sent to certificate holders and their supervisors.

Can I bulk upload certificates?

Yes! Professional and Enterprise plans include bulk upload functionality. You can upload multiple files at once or import from Excel spreadsheets. Our system will process each document and extract the certification data automatically.

What types of certifications can I track?

CertiScan.IS supports all major safety certifications including OSHA 10/30, First Aid/CPR, equipment operator licenses, trade-specific certifications, and custom company training certificates. The system adapts to any certification type.

How do I handle certificate renewals?

When you upload a renewed certificate, the system automatically updates the expiration date and maintains the certification history. You can view all versions of a certificate and track renewal patterns for compliance reporting.

Team & Company Management

How do I invite team members?

Go to the Users section in your dashboard and click "Invite User." You can set their role (Admin, User, or Viewer) and they'll receive an email invitation. Team members can upload their own certificates or have them uploaded by admins.

What are the different user roles?

User roles determine what actions team members can perform:

  • Admin: Full access - manage users, certificates, settings, and billing
  • User: Upload and manage certificates, view reports, receive alerts
  • Viewer: Read-only access to certificates and reports
  • Super Admin: System-wide access across all companies (CertiScan.IS staff only)

How do jobsites work for General Contractors?

General Contractors can create jobsites and invite contractors to upload their team's certificates. Each jobsite has its own compliance requirements and reporting. You can track which workers are certified for specific jobsites and ensure compliance across all projects.

Can contractors manage their own certificates?

Yes! Contractors have full control over their team's certificates. They can upload, update, and manage certificates while giving General Contractors read-only access for compliance verification. This maintains privacy while ensuring transparency.

Technical & Integration

Is my data secure?

Yes, we follow SOC2-aligned security practices with encryption in transit and at rest. Data is stored in secure, compliant data centers with regular backups. Enterprise plans include additional security features like SSO and audit trails.

Can I integrate CertiScan.IS with other tools?

Professional and Enterprise plans include REST API access for integrations. We support webhooks for real-time updates and can integrate with project management tools, HRIS systems, and safety management platforms. Custom integrations available for Enterprise customers.

Do you have a mobile app?

Yes! Our mobile app is available for iOS and Android. Field workers can upload certificates directly from their phones, receive push notifications for expiring certificates, and access their certification status on-the-go.

Can I export my data?

Yes! You can export certificates and reports in Excel, PDF, or CSV formats. Professional plans include automated report generation and scheduling. Enterprise plans include custom export formats and data migration assistance.

Compliance & Reporting

How does compliance scoring work?

Our compliance score is calculated based on the percentage of active, non-expired certificates across your workforce. Scores update in real-time and factor in upcoming expirations. GC plans include detailed compliance analytics and trending reports.

What reports are available?

Available reports vary by plan:

  • Basic: Certificate expiration reports, worker status summaries
  • Professional: Compliance analytics, trend analysis, automated scheduling
  • Enterprise: Custom reports, advanced analytics, regulatory compliance packages

How do custom compliance rules work?

GC Professional and Enterprise plans allow you to set custom rules for different jobsites. For example, you can require specific certifications for certain types of work, set different alert timing, or create custom compliance workflows based on your company's needs.

Can I track training completion beyond certifications?

Yes! You can track any type of training or compliance requirement, including safety meetings, toolbox talks, equipment training, and company-specific programs. The system treats all training records with the same tracking and alert capabilities.

Account & Billing

Do you offer custom pricing for large teams?

Yes! For teams with 100+ members or enterprise requirements, we offer custom pricing. Enterprise plans include volume discounts, custom integrations, and dedicated support. Contact our sales team for a personalized quote.

What payment methods do you accept?

We accept all major credit cards (Visa, MasterCard, American Express, Discover) and ACH bank transfers for annual plans. Enterprise customers can also pay by invoice with NET 30 terms after credit approval.

Can I cancel my subscription anytime?

Yes, you can cancel your subscription at any time. Your service continues until the end of your current billing period. You can export all your data before cancellation. We also offer account freezing for temporary project pauses.

Do you offer refunds?

We offer a 30-day money-back guarantee for new subscriptions. If you're not satisfied within the first 30 days, contact support for a full refund. Refunds are prorated for mid-cycle cancellations on annual plans.
